Check the receipt before entering it
Use your accounting system or verified payment record to confirm the amount, date and invoice reference. If one receipt covers several invoices, establish the allocation first. DueSparrow does not read bank transactions or match receipts automatically; the record depends on the entries you provide.
Keep the opening balance separate
An imported invoice may already contain a paid amount. Treat that as the opening payment balance. Add new dated receipts in the payment ledger only when they are not already included, so the same payment is not counted twice. Compare the remaining balance with the source record after saving.
Review the current conversation
Check whether the remaining amount is promised for a future date, covered by an installment plan or under discussion. A partial receipt does not by itself explain what should happen next. Keep a current promise or dispute visible before preparing another follow-up.
- Invoice total and checked paid amount
- Date and reference of the new receipt
- Remaining balance and any agreed next date
Write to the remaining amount
Prepare a draft using the updated balance. Acknowledge the receipt where appropriate, identify the invoice and ask for the next useful detail, such as the expected date for the remainder. Read the draft, send it from your mailbox and record the contact afterward.
