Compare the whole quote, not just the headline

Compare supplier costs over the same period, weigh what matters and write down why you chose a quote.

Ask for the same scope

Before comparing prices, make sure suppliers are quoting for the same deliverables. Record exclusions, revisions, support and any assumptions you still need to confirm.

Use one period and one currency

Total cost is one-time cost + monthly cost × comparison months. Add applicable known charges to the inputs consistently. There is no currency conversion, tax calculation or discount forecast.

Set weights before choosing a winner

Cost, delivery and fit are scored out of 100. Lower cost and fewer delivery days score higher. Your fit rating is subjective; choose it from evidence, not familiarity. The guide in the tool explains normalization.

Document your decision

The highest score is not an endorsement or a supplier verification. Check references, terms and scope yourself. Record your selected supplier and why, including questions to resolve before committing.
