Start with a small common core

Identify the inputs that recur across your website projects: purpose, scope, copy, assets, access and approval. Keep the core short enough that a client can see what is being asked. Add specialist questions only where the project needs them.

Reuse structure, then tailor it

Gather can reuse a request structure with client fields and answers cleared. Review the remaining instructions for names, platforms or assumptions that belong to the previous project. A reused question still needs to make sense in the new scope.

Learn from the last handoff

After a project starts, ask which missing input caused rework and which question was hard to answer. Improve the wording or add a check where it will change a decision. Avoid growing the template simply because a field might be useful someday.

Keep responsibility clear

Name who prepares the request, who reviews answers and who makes the final readiness decision. The workspace currently has one account owner; use that owner to coordinate the review, with client input arriving through the shared response link.
